Qualifications

  • High School Diploma required, Associate's or Bachelor's degree preferred
  • 1-3 years administrative experience 
  • 1-3 years customer service experience 
  • Experience with Microsoft Office
  • Great written and oral communication

Responsibilities

*Responsibilities included but not limited to 

 

  • Must demonstrate and model Zolman Restoration’s core values
  • Setup incoming leads in DASH (training available) 
  • Monitor and maintain all DASH and program compliance to ensure team members are completing required tasks 
  • Maintain daily route schedule in DASH and coordinate schedule as needed.
  • Setup jobs in Vista (training available) 
  • Collect all signed subcontracts, upload to Vista, and track outstanding items
  • Data Entry of T&M billing paperwork
  • Issue all subcontracts and change orders to trade partners as requested by Project Managers
  • Compile weekly measurable statistics and generate reporting for Director of Mitigation
  • Maintain overall appearance and cleanliness of office
  • Coordinate meetings and lunches as requested
  • Answer incoming calls and forward to appropriate parties
  • Participate in Admin On-Call rotation for incoming new leads after hours and weekends.
  • Greet all visitors and assist as needed
  • Contact all clients, daily, to confirm scheduling and obtain project feedback.
  • Coordinate labor assignments with Project Managers and clients.
  • Complete file reviews weekly and keep department leadership updated.
  • Stock and assemble project related folders and marketing
